Leave Programs
Sick Leave
Sick leave is accrued by all University employees appointed one-half (1/2) time or more at a rate of up to eight (8) hours per month. Sick leave may be used only for personal or family medical purposes. Unused sick leave may be accumulated without limit. Active employees may transfer up to twenty-four (24) hours per year to the University's Sick Leave Pool for use by other employees facing medical emergencies.
Vacation Leave
An employee must have worked six (6) months before being eligible to request vacation leave. Although employees are encouraged to use vacation in the year accrued, employees may carry forward unused vacation time from one fiscal year to the next as indicated below. Part time employees eligible to receive paid vacation will accrue hours on a pro rata basis, based on appointment. Faculty positions do not accrue vacation.

Upon resignation, dismissal, or separation, an employee is paid for all accrued/unused vacation leave.

Family and Medical Leave
Eligible employees may take up to 12 weeks for child care after birth, adoption, or placement in foster care of a child. In certain situations, leave for family care for a seriously ill child, spouse, parent, grandparent, or self may be permitted.

Parental Leave
The University of Texas at El Paso provides up to twelve (12) weeks of unpaid parental leave for those employees who are ineligible for family and medical leave coverage for the birth of a natural child or for the adoption or foster care placement of children under three (3) years of age.

Bereavement Leave
The University provides up to 3 days of paid leave for a qualified employee in the event of the death of an immediate family member. In order to be considered a qualified employee, an employee must be working at least 20 hours a week continuously for 4 and 1/2 months or more.

Military Leave
Employees will receive full pay for a maximum of 15 work days in any federal fiscal year for duty in the National Guard or any of the Reserve Units of the United States Armed Forces. A copy of the orders must be provided to the Human Resources department to arrange for the leave of absence.

Veterans Health Leave
Each fiscal year, a veteran may be granted 120 hours (prorated by FTE) of leave without a deduction in salary or loss of vacation, sick, overtime, or state compensatory leave to obtain medical or mental health care administered by the Veterans Health Administration of the United States Department of Veterans Affairs, including physical rehabilitation.
Eligibility
All regular full-time and part-time (at least .5FTE/20 hours per week) benefits eligible employees who served in the United States Army, Navy, Air Force, Coast Guard, Marine Corps, or Texas National Guard and who are eligible for health benefits under a program administered by the Veterans Health Administration of the United States Department of Veterans Affairs are eligible for Veterans Health Leave.
Utilization
STEP 1: The employee submits a Request for Leave form
- No documentation from a provider is required for this leave if the leave is for less than 3 days.
- If the leave is for 3 or more days, the employee and/or department must notify the Office of Human Resources Benefits Department to ensure compliance with federal leave statutes. Supporting documentation will be required.
- If the leave is for a chronic or reoccurring condition, Intermittent Family Medical Leave may apply.
STEP 2: Upon return, the employee works with the Office of Human Resources to ensure coding information is accurate.
Hours not used by the end of the fiscal year will expire. 120 hours (prorated by FTE) will replenish at the beginning of the fiscal year.

Educational Activities Leave
An employee may use up to eight (8) hours of sick leave each fiscal year to attend educational activities of the employee's children.

Leave without Pay
Eligible employees may take up to 30 days of unpaid leave for personal business matters. Management authorization is required for the approval of leave without pay.
